Regional School Unit 2 – Administrative Assistant to the Superintendent

Kennebec Intra-District Schools (KIDS) - Regional School Unit 2 seeks an enthusiastic, caring, detail-oriented, and qualified individual to serve as its Administrative Assistant to the Superintendent. The Administrative Assistant’s primary responsibility is assisting the Superintendent and Board of Education Members by performing secretarial duties such as typing, responding to telephone calls and maintaining files. Acts as liaison between District and community, Superintendent and parents, and Superintendent and staff.

Essential Duties:

·         Types correspondence, letters and memos, forms, etc. for Superintendent

·         Types agendas, School Board minutes and posts to district website.

·         Maintains board policy manuals in the district and on the website.

·         Prepares and distributes employee contracts and letters of reasonable assurance.

·         Prepares routine correspondence.

·         Processes requisitions and POs for Central Office

·         Answers phones, responds to routine questions, schedules appointments or routes calls to

appropriate personnel.

  • Interacts with District parents and community regarding District and Board of Education

      issues.

  • Maintains general office files and personnel files.

  • Places advertisements and maintains files for applications for open positions.

  • Receives and distributes incoming/outgoing mail when needed.

  • Prepares and distributes bulk mailings to community (budget, informational)

  • Maintains accurate personnel information for employees in Maine State NEO staff system.

·         Maintains accurate records of teacher certification, support staff authorization and

      fingerprinting for all employees

  • Prepares employee contracts, including stipend agreements.

  • Prepares probationary letters for support staff.

  • Receives contributions to scholarships and issues checks for students.

  • Maintains seniority list for teachers and support staff.

  • Types correspondence and maintains accurate records for Superintendent Agreements and home school students and keeps updated log of students. Enters home school student information in State portal.

  • Processes and maintains facility use forms and fund-raising request forms.

  • Prepares and distributes calendars: Board of Directors, school year, etc.

  • Processes work permits for students (summer)

  • Other duties as assigned.

Qualifications: 

       Required qualifications: Recent successful experience as an administrative assistant.

       Desired qualifications: Associate degree and/or comparable experience and personal characteristics that reflect excellent record keeping and secretarial skills, organizational ability, broad knowledge of administrative functions, and personal relations skills.
